Privacy Policy for RightNow App

Introduction
This Privacy Policy describes how RightNow ("we", "our", or "the app") collects, uses, and protects your information when you use our capacity-first task management application.
Information We Collect
Information You Provide
- Task Data: Task titles, descriptions, durations, priorities, and tags you create
- Time Tracking Data: Time spent on tasks and completion records
- Account Information: Email address (only if you choose to create an account)
- User Preferences: Your daily capacity settings and app preferences
Automatically Collected Information
- Usage Analytics: How you interact with app features (stored locally)
- Device Information: Device type and operating system version for compatibility
How We Use Your Information
We use the information we collect to:
- Provide core task management and time tracking functionality
- Sync your data across devices (only when you sign in)
- Analyze app usage to improve features and performance
- Send important service updates (only with your permission)
Data Storage and Security
Local Storage
By default, all your data is stored locally on your device using secure local database technology. This means:
- Your data remains on your device
- You have full control over your information
- No internet connection is required to use the app
Cloud Storage (Optional)
If you choose to create an account:
- Your data is securely synced to Firebase Firestore
- All data is encrypted during transmission
- You can delete your cloud data at any time
Google Calendar and Google User Data
Connecting a Google Calendar is entirely optional. RightNow works fully without it, and nothing below applies unless you choose to connect one.
What we access
- Read-only calendar access (
calendar.readonly), requested when you connect a Google account. This lets the app read the events in the calendars you choose to show. - App-created calendar access (
calendar.app.created), requested separately and only if you turn on sending tasks to your calendar. This scope permits an app to create and manage only the calendars it created itself — Google prevents it from writing to, altering or deleting anything in your existing calendars.
We request the narrowest access that makes the feature work, and we ask for the write scope only at the moment you enable the feature that needs it — never as a condition of connecting.
How we use it
- To show your events alongside your tasks, so your day reflects meetings as well as work
- To optionally count an event's duration toward your daily capacity, when you switch that on for that event
- To create events in a RightNow calendar for tasks you choose to send there, if you enable that feature
That is the whole of it. Google Calendar data is not used for advertising, is not used to build a profile of you, and is not used to train artificial intelligence or machine learning models.
How we store it
We do not store the contents of your calendar. Event titles, descriptions, locations, times and organisers are fetched from Google when the app needs to display them, held in memory for as long as the screen is open, and then discarded. They are never written to our servers and never written to your device's storage.
What we do keep is limited to your own settings and to identifiers that are meaningless without access to your calendar:
- Which calendars you chose to show, and their names — stored on your device
- The identifiers of events you have swiped to mark done — stored on your device
- Your per-event choice of whether an event counts toward capacity, as an identifier and an on/off value — stored in your RightNow account so the choice follows you between devices
- The web address of any calendar feed you subscribed to — stored in your RightNow account
- For a task you sent to your calendar, the identifier of the event we created for it — stored with that task
How we share it
We do not sell, rent or trade Google user data, and we do not share it with third parties. No member of the RightNow team reads your calendar. Data is not transferred to anyone except where you explicitly direct it, or where the law requires it.
Withdrawing access
You can disconnect your calendar at any time in the app's calendar settings, which removes the stored settings listed above from your device and your account. You can also revoke RightNow's access directly from your Google account at myaccount.google.com/permissions. Revoking access stops all further reading of your calendar immediately. Events RightNow created in its own calendar remain in your calendar unless you delete them; you own them.
Limited Use
RightNow's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Data Sharing
We do NOT:
- Sell your personal information to third parties
- Share your task data with advertisers
- Use your data for marketing purposes
We only share data when:
- You explicitly request it (e.g., data export)
- Required by law or legal process
- Necessary to protect rights, privacy, safety, or property
Your Rights and Choices
You have the right to:
- Access Your Data: View all information we have about you
- Correct Your Data: Update any inaccurate information
- Delete Your Data: Remove your account and all associated data (see deletion guide)
- Export Your Data: Download your information in a portable format
- Use Offline Mode: Use the app without any data collection
Data Retention
- Local Data: Retained on your device until you delete the app
- Cloud Data: Retained until you delete your account
- Backups: Deleted within 30 days of account deletion
Children's Privacy
RightNow is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13.
Third-Party Services
We use the following third-party services:
- Firebase: For authentication and data synchronization (Google's privacy policy applies)
- Google Calendar: Optional, and only if you connect it — see Google Calendar and Google User Data above for exactly what is accessed, used and stored
- Buttondown: If you subscribe to our blog newsletter, your email address is stored and processed by Buttondown (their privacy policy applies). It is optional, separate from your app account, and every email has an unsubscribe link. Signing up for the Android closed test does not subscribe you to the newsletter.
- Android closed test signups: If you sign up for the Android closed test, your email address (and your first name, if you give one) is stored in our own Firebase project, not sent to a third-party mailing list. We email you a confirmation link, and your address only reaches us once you click it. We use it to add you to the test and to email you about the test, and nothing else. It is deleted when the test ends, or sooner if you ask.
- Google Play Console: If you sign up for the Android closed test, the email address you gave is added to the test's tester list in Google Play so that Google can grant you access to the app. Ask us to remove it at any time and it is taken off the list.
- No advertising networks or analytics services are used
Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any significant changes through the app or via email (if you've provided one).
